Rights Diary Information
Please see below information provided by the Business Affairs team about the Rights Diary:
The Rights Diary (“RD”) is now live. Because of the sensitivity of some of the information, we have decided to create two categories of data. “Basic Data”, which includes all contractual data excluding advances, royalties and fees, and “Sensitive Data”, which includes Basic Data and the excluded data (so everything). We then split the access to Sensitive Data by division, so Integral and PLG, with a final access all areas category. So four categories of users in total, as follows:
• Category 1 – this includes everyone who needs access to the RD. They will only see Basic Data across both Integral and PLG.
• Category 2 – as per Category 1, plus Integral Sensitive Data
• Category 3 – as per Category 1, plus PLG Sensitive Data
• Category 4 – as per Category 1, plus Integral and PLG Sensitive Data
The above access categories are all to a PowerApp we built to make accessing the RD data easier and more user friendly. The PowerApp sits on top of the main MS List we have created, and displays data to users according to their access rights, defined within the above Categories. If required, we can also grant access to the Rights Diary in its original MS List format, which contains more detail and greater functionality. This access is only available to Category 4 users and upon request to Charlie Wale.
In the first instance, your MD / FD will need to approve your access. They have been asked to prepare a list identifying which category of access people in their team should have. Access will be granted on a need to know not nice to know basis. This list will be sent to Colin Strain in IT, and he or a member of the IT team will action the access, which will be granted at an email address level. Please speak to your FD / MD directly and ask them to send the relevant list to Colin. Please note the only work IT is able to do in respect of the RD is to set up your access once approved by your FD / MD.

General (PowerApp) users will access the diary via the Rights Diary tile.
The RD is not perfect, but it should provide a useful first port of call for basic contractual information. It has been designed to be useful to as wide a user group as possible. Marie Lorenzen in the UK BA team is responsible for its maintenance, and the wider BA team will continue to work with IT to enhance its features over time. Next on the list is its use as a replacement to Podio, and after that will be consideration of automated notifications. Current thinking in respect of the latter is a combination of individual notifications of new deals for immediate users, and fuller weekly / fortnightly reports, which will contain details of new deals, and the expiries of the Terms and Exploitation Periods of current deals, for those that prefer less frequent communication, tailored to different user groups.
In terms of its data, BA has prioritised ensuring that it contains all of our current global release schedule (excluding HM), and our top 50 earners. But it also contains everything that was in the previous iteration of the RD in excel format. This latter data, to the extent it does not fall into either of the two former categories, will be uncleaned. But from the user perspective, that will just mean that the data available will be limited. It should still have key information, but there will be empty data fields. But regardless of whether the entry you look at is a new entry so complete, or an older uncleaned entry with gaps, if you or any of your teams cannot find the contractual data that you want, they should speak to the relevant BA person (specified in a data field), who will be happy to help.
